The Project Administrator may be assigned one (1) to six (6) Power Generation outside salespeople and is responsible for managing the salespersons project once it becomes a firm order. The project administrator may be accountable for managing as few as twenty to as many as hundred and twenty projects. In addition, they also provide front line support to customers and vendors by phone, e-mail and face to face; therefore, this position requires a strong customer service focus. This role provides administrative support in the areas of Power Generation purchasing, project coordination, sales, and service.
Responsibilities:
Assume the ownership of a project once it becomes an order. Gather all project information: Electronic Project File, Salesperson Quote, Vendor Quotations, Vendor Drawings, Customer Purchase Orders, and Tax information.
Maintain close contact with sales representatives, internal resources, outside vendors, and customers. Act as a single point of communication to assure all are aware of project status.
Release material and manage logistics of same.
Collaborate with factory, internal contacts, customers, and vendors to assure on time delivery.
Create and maintain work orders, purchase orders and invoices utilizing Business Management System.
Monitor and maintain project costs from opening to closing of each project.
Close work orders and projects in a timely manner.
Prepare new orders and provide support to customers during the ordering process.
Provide accurate forecast of monthly sales.
Schedule deliveries, track orders and coordinate shipment schedules.
Work with Service Department for scheduling of on-site equipment start up.
Prepare and implement documentation to customers to show completion of project.
Other duties, as assigned.
Reports To: Project Administration Team Manager
High School Diploma or equivalent required.
Associates degree or equivalent from two-year College or trade school plus five years secretarial/administrative experience, or equivalent combination of education and experience.
Accounting background, a plus.
Experience in manufacturing/service, a plus.
Skills and Abilities:
Customer Service focused. Ability to resolve customer concerns.
Ability to be flexible in a fast paced environment.
Excellent listening skills, problem solving and telephone etiquette.
Strong organizational skills, attention to detail, positive follow through approach, ability to multi-task.
Proficient in Microsoft Office applications, Outlook and Windows based software.
Pleasant and cooperative attitude with co-workers. Must work within a team environment designed to support customer needs and expectations.
Effectively communicate one-on-one and in small groups with employees, customers, and vendors.
Answer routine calls and respond in a timely manner.
Extremely high level interpersonal skills, both written and verbal. Must be able to clearly demonstrate professional attitude and mannerisms under all circumstances.
Work directly with internal and external customers.
Comfortable working with a computer, including BMS/Custom Reporting.
General Knowledge of accounting payable/receivable and purchasing.
